Where this helps

Find the manual steps that keep coming back.

01

The same information is entered twice.

Staff copy details between a CRM, finance tool, delivery system and spreadsheet. Connect the agreed systems where feasible, check the information before it moves and flag exceptions instead of silently passing errors along.

02

Requests wait in inboxes.

A recurring request arrives by email, needs information from several people and has no clear next owner. Introduce consistent intake, routing and status tracking so the team can see what is waiting and who should act.

03

Report preparation absorbs the team.

People collect files, check whether information is complete and prepare the same report repeatedly. Automate suitable preparation steps and make outstanding items visible before a person reviews and approves the result.

How the work happens

Improve one process from start to finish.

Liam works with the process owner to understand the recurring task, the systems involved and the exceptions that need human judgement. The proposal defines the process boundaries and the result to be delivered.

  1. 01

    Understand the current work.

During paid delivery, map the agreed process and record its volume, waiting points, rework and handling effort. Confirm the information required at each step and who is responsible.

  2. 02

    Choose the appropriate automation.

Use system connections and explicit rules for predictable tasks. Consider AI for a bounded task such as extracting or summarising information only when its output can be checked and the data use is agreed.

  3. 03

Test the exceptions and hand over.

Test normal cases, missing information, failed connections and outputs that need review. Train the team, document how to recover from a failed step and agree who monitors the workflow after launch.

Built for routine use

What your team takes away.

A working, scoped workflow

The agreed connections, automated steps and user hand-offs, tested against acceptance criteria. This is a focused implementation with clear responsibilities and defined limits.

Human review and exception handling

Appropriate access, visible failures and a clear route to the person who can resolve an issue. Material decisions and final approvals remain with your team.

Documentation and training

Instructions for operating and maintaining the workflow, its known limitations and a handover to the responsible team. A 30-day in-scope stabilisation window covers defects against acceptance criteria.

Practical questions

Before we start.

Does workflow automation always need AI?

No. When inputs and rules are predictable, a direct integration or rules-based workflow may be enough. AI is considered only where it has a useful task and suitable review, permissions and exception handling can be defined.

Can you connect our existing systems?

We check the available APIs, exports, permissions and integration options before agreeing what can be delivered. The proposal names the connections and dependencies included; it does not assume that every tool can be connected.

How is the benefit measured?

Agree a baseline for the chosen process, such as handling effort, turnaround time, rework or the number of manual hand-offs. Compare the result after the workflow enters routine use. The aim is measurable improvement, without promising a particular saving before the work is understood.
